Emails occupy lot of our time during the day. Most of people check emails every time with the fear of not missing out something important and urgent.
They struggle with proper mail management which significantly impact productivity and does not allow them to focus on other important and high priority tasks. Emails may take your whole day without you even realizing it which can be a big bottleneck for delivering productive results.
It is important to understand how to better manage emails so that time can be utilized in best possible way and the least thing a person would expect would be to spend entire day clearing emails and doing nothing else.

1. Organize Inbox : One of the time consuming activity is to search and locate relevant emails from the sender. Organize inbox so that each sender mails are at one place and easier to locate. Right click on Inbox folder to create new sub folders with relevant names. Create rules so that mail from sender goes directly in his name folder. You can easily search for relevant mails in name folders
2. Assign Priorities : Assign priorities to folders so that important mails are checked more frequently. Email of Line Manager can be checked promptly whereas non urgent and routine mails can be checked once in day. it will optimize time spent on emails and at the same time take care of urgent tasks.
3. Act Promptly : If you can, Always take action on emails promptly once you have read them. Actually read them when you are ready to reply on them. If information is available, reply immediately. If information not available, initiate actions to get the required information. Keep email marked as unread until it is being responded to identify them as future action.
4. No angry replies : Don’t reply to mail when angry. If still want to reply, create email and save in draft to be sent next day. Most likely you will remove most of words or may not send it at all. Just remember that an email once sent will not come back and it can reach to anyone in the organization. So, choose your reply and response wisely.
5. Work offline: Schedule time to check emails and work offline when doing an important project or work. Don’t keep checking the mail all the time as you are losing on other important tasks to be done proactively.
